Getting Started

I’m ready. How do we get started?

If it is a straightforward project, we can typically provide a quote ASAP (within 1 business day). From there, we’ll need your audio or video to transcribe as well as complete billing information.

For larger projects and accounts, we usually start with a discovery call, followed by a short exploration phase where we work with you to define the project scope and services we can help you with. We’ll then proceed to share our cost estimate, prepare a contract and schedule kickoff calls with our teams. Once the paperwork is complete, we get to work!

How much do you charge?

Our pricing structures are designed to be industry competitive, transparent, and fair. 

For projects or one-time transcription, rates range from $2.49 to $3.49 per minute, depending on the number of speakers and level of quality assurance requested. Volume discounts may apply.

For certified legal transcription, rates begin at $30 per man hour and $300-$350 per audio hour.

For ongoing or medical accounts, we offer clients a number of different dynamic billing options to fit your budget, including fixed project fees, hourly rates, and monthly retainers for both transcription and administrative services.

How are accounts managed?

Our staffing strategy is to allocate the best possible resources for each client and project, with a particular focus on years of relevant experience and accuracy rates.  

After an initial needs assessment, accounts are staffed according to established capacity planning techniques. While we typically source staff in-house, it is not uncommon for Princeton Transcription to recruit additional top performers if necessary to achieve a particular composite skill set.

A typical client team will include a Client Service Manager (CSM), 1-3 (or more) Transcriptionists, and a Quality Assurance Lead.

Who is Princeton Transcription?

We are transcriptionists, account managers, project managers, quality assurance specialists, and subject matter experts partnering with governments and businesses to provide simple, useful, and scalable transcription solutions.

Transcription Basics

How long will it take?

Files are typically returned within 24 hours of receipt (or sooner). For complex projects or ongoing accounts, a predetermined service level agreement (SLA) is provided.

How do you ensure quality?

Princeton Transcription proudly boasts an average of 99.8% accuracy utilizing seasoned US-based transcriptionists and advanced quality assurance measures.

Do you provide legal transcriptions?

Yes. We support a large number of legal clients and are well versed on appropriate protocols. 

Transcripts of legal proceedings or items to be used in court typically include a certification statement as well as an additional layer of full-document quality assurance.

Do you provide timestamps?

Yes, we offer timestamps, starting at $0.20 per audio minute.

Do you have translation services?

Yes; we can currently can accommodate requests for Spanish audio/video transcription or translation services. Contact us for more details.

Data Security

How do you keep information secure?

Princeton Transcription has a robust information security program, comprised of policies, procedures, and technology. 

Work is completed through a secure VPN with end-to-end encryption (utilizing AES-256, bank-level technology) by 100% US-based transcriptionists. Data is not sent overseas, unlike many of our competitors.

All staff go through extensive confidentiality training, pre-hire background checks, and have signed NDAs on file. 

Lastly, we rigorously test our security protocols via regular internal audits, and an annual external 3rd-party audit. To date, we have never had a data breach, and intend to keep it that  way.

Will Princeton Transcription sign a non-disclosure agreement?

Princeton Transcription has a strict customer confidentiality policy. However, we understand that some customers require additional documentation via a non-disclosure agreement (NDA). We are happy to sign your NDA, or can supply one for you.

How do you protect my files?

We encrypt all data – both in transit and where it is stored on our protected AWS servers. Your files are securely stored and transmitted using TLS 1.2 encryption, bank-level security.
